Practice Management

A Consistent Management Cadence for Your Dental Practice

A monthly scorecard, a management meeting, recurring process reviews, and planning — delivered on a standing schedule rather than whenever there is time for it.

Management That Recurs

The business side of a practice competes with a full schedule. A review that was going to happen this month can happen next month instead, and a number nobody assembled is a number nobody acts on.

Ongoing practice management replaces that with a standing cadence. A pre-defined set of services arrives on a schedule: the numbers are assembled whether or not anyone had time to assemble them, the meeting is on the calendar, and the process reviews come round again. Instead of a one-off consultation or sporadic help, the practice gets oversight and insight that keep arriving.

Who This Is For

The engagement does not turn on the size of the practice, the number of doctors or locations, the practice management software in use, or revenue. None of those decide whether this is useful.

What it does turn on is whether the owner wants to hand off part of the business side. Proveer works alongside an owner who wants a second set of eyes on the numbers and is prepared to let an outside team take on defined management responsibilities and hold to a standing schedule. An owner who would rather keep every part of practice management in their own hands is unlikely to get value from it — that is a legitimate way to run a practice, just not one this service fits.

What Recurs, and When

The plan contents, grouped by how often the work comes round. Each line names the first plan level that includes the work; higher levels inherit everything below them.

  • Every month: Essential: Scorecard; Meeting (or report) · Premier: Front desk process review · Elite: Review and planning meeting
  • Every quarter: Premier: Team process review across coding, insurance, billing, and scheduling; Marketing effectiveness assessment · Elite: Patient flow and schedule capacity review; Staffing level review; 2-hour strategic planning session; Financial review
  • Twice a year: Essential: Front desk process review
  • As needed: Elite: Practice management help desk (up to 90 min/month)

How It Works

The four steps are the shape of the engagement. What goes into setting up the working process is agreed with the practice rather than run from a template — onboarding differs from one practice to the next, so the scope, the process, and what Proveer carries are settled before anything starts.

Who You Work With

Since 2008, Proveer has combined practice data, process review, and hands-on administrative support for independent dental practices. Clients work with a small team led by Proveer’s founder, typically through a named client manager who learns the practice, its software, and its priorities. Monthly services are month-to-month, with no long-term contract.

Related Services

  • Practice Analysis

A one-time, comprehensive evaluation of the business side of the practice. A practice can start here and move into ongoing management afterwards, or do either on its own — neither requires the other.

  • Dental Consulting

A defined engagement aimed at one operational, financial, staffing, technology, or growth question, rather than a standing cadence.

  • Outsourced Administration

Where ongoing management identifies work that should leave the owner’s desk entirely, Proveer can carry defined owner-level administrative responsibilities.

Ask Us

What is included in a monthly practice management plan?

Three plan levels. Essential covers a monthly scorecard, a monthly meeting or report, and a semiannual front desk process review. Premier adds a monthly front desk process review, a quarterly team process review covering coding, insurance, billing, and scheduling, and a quarterly marketing effectiveness assessment. Elite adds a monthly review and planning meeting, quarterly reviews of patient flow and schedule capacity, staffing levels, finances, a quarterly two-hour strategic planning session, and a practice management help desk of up to 90 minutes a month.

Do you provide customized solutions for different practices?

Yes. The processes we use are consistent, but they are designed to produce solutions built around each practice’s own operations, software, and goals. Helping independent practices stay independent is the work we set out to do.

How is this different from a one-time practice analysis?

A practice analysis is a single, comprehensive evaluation delivered with documented findings and recommendations. Ongoing practice management is a standing cadence: the scorecard, the meeting, and the process reviews recur, so the practice keeps measuring after the recommendations are made. A practice can begin with either.

How long is the commitment?

Proveer’s monthly services are month-to-month with no long-term contract. If you don’t believe the value of the services exceeds the cost, cancel any month. That is how we have worked since our founding in 2008.

How can I determine whether Proveer’s services are a fit for my practice’s particular needs?

We are happy to help with that. Schedule a free consult. We will listen to your needs then share if and how Proveer’s services can drive value.
